Absence data for staff is recorded in a time and attendance system called SMART. Absence data from SMART is transferred to ESR via a weekly interface.Monthly absence reports are provided to line managers showing:A summary of all absences in the preceding 12 monthsPercentage time lost due to sickness (shown as long term, short-term and in total) at Ward/ Department, Directorate and Trust levelReason(s) for sickness by employeeCost of sickness absence (in terms of salary paid) at Directorate and Trust levelCalendar days lost due to non-sickness absence reasons at Directorate and Trust levelSickness absence by employee showing days lost and cumulative episodesNon-sickness absence by employee showing days lost and cumulative episodesOpen-ended sickness by employeeQuarterly absence reports are provided to Trust Board showing:A summary of all absence in the preceding 12 monthsNumber of calendar days and percentage time lost due to sickness and non-sickness absences at Directorate and Trust levelCost of sickness absence (in terms of salary paid) at Directorate and Trust levelDirectorate/Department sickness absence and management is monitored throughout the financial year as part of performance management arrangements. Percentage sickness absence is reported in the Trusts annual report by staff group showing the rate for each quarter in the financial year.Sickness absence percentages are calculated by dividing the number of working hours lost by the number of working hours available. Both working hours lost and working hours available are calculated using the employees contracted hours and the number of calendar days in the absence period.
